Job Description
1. Greet visitors and directing them to the correct department.
2. Answering incoming calls and directing them to the appropriate person or
department
3. Managing the reception area, ensuring it is clean and organized
4. Answer public enquiries and maintaining a visitor log
5. Scheduling appointments and maintaining calendars for the company's agents
or contractors if needed
6. Assist in the planning and preparation of meetings, conferences and
conference telephone calls.
7. Direct visitors and candidates to the appropriate department or staff.
8. Update appointment calendars and schedule meetings/appointments.
9. Maintain an adequate inventory of Reception supplies.
10. Redirect calls as appropriate and take adequate messages when requires.
11. Receive, sorts and forward incoming mail.
12. Coordinate the pick-up and delivery of express mail services (FedEx, etc.) and
directing them to suitable person or department.
13. File and keep record of activities in the office for easy retrieval and review
when due, and send it to the relevant department personnel.
14. Inform when necessary relevant staff of visitors’ arrivals and/or cancellations
of appointments.
15. Providing administrative support as needed, such as filing, data entry, or
photocopying.
16. Provide administrative services for the Executive Directors in coordinating
with Office Manager
Skills
1. Good user of Microsoft Office
2. Organizational and multi-tasking abilities
3.Good in English speaking, writing, and reading
